BUYER GUIDE / 14

How should a clothing brand prepare pajama carton packing and shipping instructions?

A clear shipping handoff connects each SKU to its approved presentation, assortment, carton marks, packed quantity, document data and dispatch authority. It helps the factory, buyer and logistics partner reconcile the same finished order.

Use one row per SKU, carton rule, document input or release decision. Keep buyer-supplied data, factory confirmation and final approval separate.

1. Build one SKU and assortment matrix

List every style, colour and size combination with its buyer-provided SKU, barcode data and ordered quantity. Identify solid-size, solid-colour or mixed-carton rules. Do not generate or change retail codes without written brand approval.

2. Define unit-level presentation

Specify folding method, main/size/care labels, hangtags, stickers, tissue, inserts, individual bag and warning or market text supplied by the brand. Tie artwork and placement to current approved versions.

3. State exactly how cartons should be built

Record units per carton, size-colour assortment, inner packs if used, carton sequence and any weight or dimension fields that must be completed from the packed order. Avoid assuming a universal carton standard.

4. Approve carton marks before printing

Provide the required purchase order, style, colour, size, quantity, carton number, destination, consignee or handling fields. The buyer or its logistics adviser should confirm wording, symbols and routing data.

5. Reconcile ordered, produced and packed quantities

Compare the current order with final packed units by SKU. Record shortages, overages, replacements and accepted changes with an owner and approval reference. The carton total should reconcile with the packing list.

6. Separate product approval from logistics instructions

Product inspection confirms the goods against approved references. Dispatch also needs the buyer or freight forwarder's collection, booking, consignee, notify-party and document instructions. Record who supplies and approves each input.

7. Prepare the document data set

Confirm the packing-list data, commercial references requested by the buyer, carton count, quantities, weights/dimensions when available, consignee data and any destination-specific records identified by the buyer or adviser. This checklist is not customs or legal advice.

8. Freeze the dispatch release

Name the release approver and record inspection disposition, production photos/videos, remaining 30% balance status, final carton list, required documents and collection instruction before shipment.

What should the buyer or logistics partner send?

Send the current purchase order, SKU and barcode matrix, size-colour breakdown, unit packaging artwork, assortment rules, carton-mark file, consignee and notify details, shipping method, booking responsibility, required document list and named release contact.
