NAIDI PAJAMAS

BUYER GUIDE / 13

What should a clothing brand check before a pajama order ships?

A pre-shipment inspection should compare the finished order with one approved production reference and leave a clear record of findings, corrections, packing checks and release authority.

Download the pre-shipment inspection checklist

Use one row per checkpoint or finding. Record the approved reference, sample or quantity checked, result, evidence, corrective action, owner, recheck and release decision.

1. Identify the exact order and approved reference

Record the purchase order, style, colour, size range, quantity and destination. Cite the approved sample, construction specification, measurement chart, material references, label files and accepted exceptions. Do not inspect against an obsolete file.

2. Agree the inspection scope before the order is packed

Define when the review happens, which quantities and sizes are available, how units are selected, what is checked and who may approve an exception. There is no universal inspection level for every order; any sampling plan or third-party inspection must be agreed for the project.

3. Check workmanship, measurements and function

Review representative units against the approved reference. Record construction, seams, stitching, symmetry, closures, elastic, pockets, piping and other style-critical details. Use the approved measurement methods and tolerances rather than a general size chart.

4. Reconcile quantity, colour and size assortment

Compare produced, inspected and packed quantities with the current order. Record colour and size breakdowns, shortage or overage decisions and any mixed-carton instructions.

5. Verify labels, packaging and traceable data

Check main, size and care labels, hangtags, stickers, barcode or SKU data, folding, bags, assortments, carton quantities and carton marks against current approved files. The brand or importer confirms destination-market compliance.

6. Record findings, corrective action and recheck

Give each finding a category, description, quantity affected, evidence, owner, due date and disposition. Record whether correction, replacement, acceptance or further review is required, then document the recheck result.

7. Keep release authority explicit

Name who can approve shipment and what evidence is required. NAIDI PAJAMAS provides production photos and videos before shipment; the remaining 30% balance is payable before shipment. This evidence does not replace an agreed independent inspection.

8. Confirm shipment documents and dispatch instructions

Before dispatch, confirm final packed quantity, carton list, shipping method, consignee data, required documents, booking responsibility and release instruction. Keep the release record tied to the same order version.

What should the buyer send before inspection?

Send the current order, approved sample version, product specification, measurement chart, label and packaging files, size and colour breakdown, inspection scope, defect or disposition rules, destination and release contact.
